A day in the life of a legal receptionist

Working as a legal receptionist is like being the gatekeeper of the law firm - setting the tone when greeting clients, visitors and managing incoming calls. By being a welcoming host, the receptionist is the positive face of the company to its clients and business partners.

It is important to uphold the image of the firm and be both friendly and polite while maintaining professionalism and being articulate. Being a receptionist is definitely not limited to answering of the switchboard, taking messages, receiving clients and visitors, but there are other administrative duties which you are responsible for.

For example, scheduling of meetings and conference calls, arranging for collection of mail using various courier services, receipt of mail and parcels and making sure you distribute it to the relevant recipients. Opening of client files, filing of various documentation in hardcopy as well as filing it electronically. Ordering of stationery and groceries for the office, all that while keeping the office in immaculate condition at all times.

It is most important that you are good at managing your time keeping and setting limits to tasks that has to be done daily.

Familiarise yourself with all computer programs your firm works with, always be ready to learn new things - never say “no” or “I don’t know how to do that”, but rather say “I am willing to learn in order to assist where I can”. Take on new challenges; it will improve your work ethic and make your day at work so much more productive.
